Job card format for repair shops
A job card is the receipt a customer gets when they leave something for repair. A complete one prevents most arguments at delivery time.
What to record
- Job number and date: one running series (JC/26-27/0001).
- Customer: name and phone, and address for home-service jobs.
- Item: type, make, model, and an identifier: vehicle registration number, serial number or IMEI. Odometer reading for vehicles.
- Received with: charger, cover, SIM, memory card, tool kit, spare wheel.
- Condition: scratches, dents, cracked screen, missing screws. Write it before you touch the item.
- Complaint: what the customer says is wrong, in their words.
- Estimate and promised date, and the technician.
- Terms: estimate is approximate, you will call before extra work, what happens to uncollected items.
- Signatures: the customer agrees to the terms; the shop signs as received.
Two copies
Print the customer copy and the workshop copy. The customer brings their copy back at delivery; the workshop copy stays with the item. Choose "2 copies" under Print copies.
Good habits
- Photograph the item at intake and keep the photo with the job number.
- For phones and laptops, tell the customer to back up data and remove accounts or locks; note the screen lock only if they choose to share it.
- Never change the job card after the customer signs; add later findings as notes and call them.
