How to make a job card and a service bill
For workshops and repair shops: the job card records what came in and what is wrong; the same record becomes the service bill when the work is done.
Step by step
- Your shop once. Name, address, phone, GSTIN, UPI ID.
- Book the item in. Customer and phone; type, make, model, registration/serial/IMEI, odometer, accessories, condition; the complaint.
- Estimate and date. Estimate, promised date, technician; print two copies and get the customer's signature.
- Track the job. In progress, waiting for parts, ready; Open jobs lists undelivered jobs, oldest promise first.
- Parts and labour. Each part at its GST rate, labour as repair service (SAC 9987); a warning shows when the bill passes the estimate by more than 10%.
- Bill and deliver. Set Delivered: it prints as a service bill; mark paid or leave a balance; one-tap WhatsApp message.
Worked example
Bike service: estimate ₹1,500. Parts: brake shoe ₹350 + 18%, engine oil ₹420 + 18%; labour ₹600 + 18%. Total ₹1,370 + ₹246.60 = ₹1,616.60: 7.8% over the estimate, so no warning.
Common mistakes and how to fix them
- Labour at the parts' GST rate. Labour is a service line (SAC 9987, usually 18%).
